How do I download submissions to file upload questions?

If your assessment has file upload questions, you can download all submissions to them simultaneously (e.g., to add inline comments, or for ease of reading certain types of files from your computer.)

You can either:

For information on entering assessment grades and comments, see How do I grade Tests & Quizzes?

Go to Tests & Quizzes.

Select Tests & Quizzes from the tool menu in your site.

Select the Published Copies tab.

Select the Published Copies tab to view the assessments that have been released to students in your site.

Go to the assessment submissions.

  1. Select the Actions menu for the assessment.
  2. Select Scores.
  3. Alternatively, you may select the number of student submissions in the Submitted column to view the submissions.

Download submissions to multiple file upload questions simultaneously.

If your assessment allows multiple submissions, or if a student has submitted a retake, downloading submissions to multiple questions will only obtain the files from one of each student's attempts. The files that get downloaded for a particular student depend on the assessment's Recorded Score setting and whether or not other questions were awarded points in any of the student's attempts, as follows:

  • Highest score recorded AND at least one question was graded (either automatically or manually) in at least one submission: Files downloaded will be those that were uploaded to the submission currently having the most points assigned to it.
  • Highest score recorded and no submissions have grades: Files downloaded will be from the student's most recent submission to the assessment.
  • Last score recorded: Files downloaded will be from the student's most recent submission to the assessment.
  • Average score recorded: Files downloaded will be from the student's most recent submission to the assessment.

To download files uploaded during multiple attempts at the assessment, use the method described below to Download all submissions to a specific file upload question.

Select the Download File Submissions tab.

Note: The Download File Submissions tab is only available in an assessment's grading screens if the assessment includes at least one file upload question.

Select question(s) and download their submissions.

  1. Use the Select All link to select all file upload questions in the assessment to download responses OR select the check box(es) for specific question(s) containing submissions to download.
  2. By default, submissions for all site participants are downloaded.  To download submissions from specific course rosters or groups, choose for selected section(s)/group(s), then select the group(s) whose submissions should be downloaded.
  3. Select Download.

Save and unzip the ZIP file.

  1. Based on your internet browser settings, you may be prompted to save the file.  Save it to your computer.
  2. Unzip the resulting zip file.

Note: How you unzip the file depends on your computer's operating system and configuration.  Pictured above is a file being unzipped in Windows 10 by right-clicking on it and choosing Extract All...  For a screen shot of a file being unzipped on a Mac, see the step below: Save and unzip the ZIP file.

Open the folder to access submissions.

The unzipped folder contains a folder for each question with downloaded submissions.  The folder name is the part of the assessment where the question is located, followed by an underscore, a letter Q, and the question number within the part (e.g., Part1_Q1).

Inside each question folder, each file is identified with the student's last and first name, followed by an underscore, then the student's user ID (UVA computing ID or non-UVA guest email account), another underscore, and the original name of the file they uploaded (e.g., Student_One_tls6u-stu1_StudentOne-EssayPrompt1.docx).

Download all submissions to a specific file upload question.

Select the Questions tab.

Select the file upload question.

From the list of question numbers, select the question from which to download responses.  Each question is listed as the letter Q with the question number (e.g., Q1, Q2).

Display multiple submissions for student(s). (Optional)

If your assessment allows multiple submissions, or if a student has submitted a retake, you can download all student submissions by selecting All Submissions from the View drop-down menu.

Select Download Responses.

Save and unzip the ZIP file.

  1. Based on your internet browser settings, you may be prompted to save the file.  Save it to your computer.
  2. Unzip the resulting zip file.

Note: How you unzip the file depends on your computer's operating system and configuration.  Pictured above is a file being unzipped on a Mac by double-clicking on it.  For a screen shot of a file being unzipped on a Windows computer, see the step above: Save and unzip the ZIP file.

Open the folder to access submissions.

  1. Inside the folder, each file is identified with the student's last and first name, followed by an underscore, then the student's user ID (UVA computing ID or non-UVA guest email account), another underscore, and the original name of the file they uploaded (e.g., Student_Two_tls6u-stu2_StudentTwo-ExamQuestion1.docx).
  2. If you chose View All Submissions before downloading the files, and a student submitted the assessment more than once, files uploaded by that student will also include sub and the number of the submission where each file was uploaded.  For example, if a student named One Student has two submissions, with one file uploaded during each submission, the file names might be: Student_One_tls6u-stu1_sub1_Student1-EssayPrompt1.docx and Student_One_tls6u-stu1_sub2_Student1-EssayPrompt1.docx.
