What viewing formats are available for the roster?

Site Administrators can choose between three layouts to view information in the Roster tool. Each layout displays different amounts of information. These layouts can be helpful to view images of the site participants (if permitted), pronouns, name pronunciation guides, and email addresses.

Note: Due to privacy restrictions, information contained in the Roster tool is restricted to site participants in the Instructor, Secondary Instructor, Teaching Assistant, Owner, or Administrator roles. (Access to official photos is further restricted to participants listed in SIS as instructors, secondary instructors, or teaching assistants for rosters containing those photos.)

Participants in the Student, Member, or Observer roles have no access to any of this information. By default, the tool is hidden in sites created using the site templates, meaning that students will not see the tool in the tool menu. Even if the tool is unhidden, students, members, or observers will see a page with no participant information after clicking on the link.

Go to Roster.

Select Roster from the tool menu in your site.

Select a Layout.

  1. By default, the roster will appear in the Cards viewing format. This will show the roster in a notecard-style layout that shows the person's photo, name, pronouns, user ID (UVA Computing ID or guest email address), role in the site, group membership, and email address. See Cards Layout.
  2. Select Photo Grid to see the roster as a grid of individual entries containing enlarged photos of the site participants, their names, their user ID (UVA Computing ID or guest email address), and their role in the site. See Photo Grid Layout.
  3. Select List to view the roster in a spreadsheet-style format that shows the person's photo, name, pronouns, pronunciation guide, user ID, role in the site, group membership, and email address. See List Layout.

Cards Layout.

The Cards format displays the roster in a notecard-style layout, with a card for each site participant. Each card contains the following information for each person:

  • Photo or initials, if no photo is available.
  • Name.
  • Pronouns, if the person has specified them. Each person can select their pronouns in the Profile tool in their Home site. See How do I set up my profile?
  • User ID (UVA Computing ID or guest email address).
  • Role in the site.
  • Groups membership. If you select a group here, the roster display will filter to show site participants who are members of that group.
  • Email address.

Photo Grid Layout.

The Photo Grid format displays the roster as a grid of individual entries containing enlarged photos of the site participants, to aid instructors in visually identifying their students. Each entry displays the following information for each person:

  • Photo or initials, if no photo is available.
  • Name.
  • User ID (UVA Computing ID or guest email address).
  • Role in the site.

By default, participant names, user ID, and role are included in the view. They may be hidden and unhidden to allow instructors to test their knowledge of the names of their students. To hide this information, select the Hide Names checkbox near the top of the page.

List Layout.

The List layout displays the roster in a spreadsheet-style format, with a line for each site participant. Each entry displays the following information for each person:

  • Photo or initials, if no photo is available. By default, participant photos are included in the view, but they may be hidden to generate a condensed list. To hide the photos, select the Hide Photos checkbox.
  • Name.
  • Pronouns, if the person has specified them. Each person can select their pronouns in the Profile tool in their Home site. See How do I set up my profile?
  • Pronunciation guide for the person's name. Select the speaker icon to listen to a person's recording of their name. Each person can set this up in the Profile tool in their Home site. See How do I set up my profile?
  • User ID (UVA Computing ID or guest email address).
  • Role in the site.
  • Groups membership. If you select a group here, the roster display will filter to show site participants who are members of that group.
  • Email address.
